Setting Up Advanced Customer/Member Options

 

There are many options on the Individual Information screen in addition to the customer’s name, address, and contact information.  Sportsman users can add or change specific information about an individual member such as:

·         email/text preferences

·         billing plans

·         account holds

·         registration restrictions

·         add and/or display notes regarding assistance needs

·         eligible discounts

·         medical documentation

·         demographic information

·         insurance certificates

Steps:  click lookup and choose a customer

·         Do not allow registrations/reservations can be selected if this person has given a bad check for example. 

·         Automatically show member notes when accessed will open a message box when this customer is looked up.

The notes can be entered on the first customer screen.

 

Alternatively, the Account Hold button can be selected to restrict registrations on this customer’s account or the entire family group until a certain date.

               

Click Modify to go back to the Individual Information screen.

Residency can be checked by clicking the Check button.

The Resident/Non-Resident address definition is defined here:  File > Administration > Site Configuration > Edit > Group Settings

The Membership Module needs to be purchased to sell memberships and to use the User Defined fields at the bottom of the screen.  They are defined here:  File > Administration > Site Configuration > Edit > Membership

The Billing Plan section is for corporate sponsored membership options.  For more info see the Memberships documentation section.

Preferences:  The customer can opt out of receiving emails and texts.  If no preference is selected they will receive them by default. 

 

Documents / Medical Notes

·         Documents can be attached to the customer’s account.

·         General or Medical Notes can be entered. 

 

Discounts / Demographics / Misc

·         Discounts:  For example a senior discount can be attached to a customer’s account.  If a program also has that discount the customer will receive it when registering.

·         Demographics:  can be entered and shown on various reports.

·         Miscellaneous:  The Foreign ID field can be used to save information instead of a User defined field.  Also an Insurance date can be entered.
