Defining Membership Types

In these instructions we will:

·         Set up Membership Types

·         Configure Admittance Privileges

 

Special considerations / rights needed to do so.

·         Membership Module

 

These instructions cover the Membership Type options in SportsMan SQL.

 

Membership types within SportsMan are the backbone of the membership module, and are used to describe every detail regarding the various ways your patrons can sign up for memberships, and how much they are billed etc...

To begin go to File > Maintain Tables > Memberships > Membership Types

To define a new membership click Add.

 

Abbreviation:    A short abbreviation usually two or three letters of the description.

Description:       A short description of the membership type such as “Family Membership.”  This description will be shown  in dropdown menus when selecting this membership type.

GL Account:        This is a sales accounting category used when a membership is sold.  Example:  Family membership revenue may be categorized differently than punch passes.

Admission Rules: This restricts how frequently this membership card can be swiped in the admittance control to gain admission to the facility.   Most facilities use the setting of 1 every 0 hours for unlimited admittances.

# of people that can be included In this Membership: This is the number of people that are allowed with this one membership type.  Example:  If this was a family pass you need to define how many family members can be included.  Put 0 to make it unlimited.  Some facilities restrict the membership to a certain number and then charge additional fees for add-on members.

Type: Normal vs Punch Pass.   A normal pass has a start date and expiration date and typically has unlimited entries.  A punch pass has a finite number of entries that are deducted with each entry. 

 

 

Setting up a Normal Pass

Availability of Membership:  This defines what duration this membership is available.

Accept Partial Payments: Check this box so that this membership may be sold without the customer paying the full price up front.

Accept Courtesy Credit Payments: Check this box if you allow courtesy credits to be substituted as payment.  These types of credits represent a non-monetary amount.  Example:  Customer was given an in-house credit for professional courtesy.

Signup/Renewal Default Selection:   If multiple periods are available, this specifies whether annual, semi-annual, quarterly or monthly is selected as the default when the membership is selected.

Resident: 

From here Simply Define a price for Residents and Non-Residents (These both need to be filled in even if they are the same amount)

Force Start and End Dates: This option is if you would like to Force the start and end date of a membership,

Allow Manual Edit of End Date: Check this box if you would like to manually edit the end date to a specific date when signing up a new member.

Facility Admission Privileges: This is where you will add the location/locations that this membership type has access to for example the “pool” or the “Main Entrance”

Membership Notes: This is where you would add any Notes that have to deal with this specific membership type, and you may choose to print them at the time of sale.

After all the items have been filled out simply click OK to save.

 # Of Admissions included with Pass: How many times the pass can be used to enter the facility per Guest.

# Of Months Pass is good For: The number of Months the pass is good for before it expires

From here simply put Resident and Non-Resident pricing and payment options, and click OK.

 

Force start & end dates:  EX:  outdoor pool, good for memorial day to labor day.
