Sportsman Web email setup
When configured properly, Sportsman Web can send emails through
your city’s SMTP server. This strategy is
best for email delivery and the easiest experience for customers to reply
directly to the emails you send out.
Sportsman Web will use the same email configuration as the
desktop on the system level. If you are
overriding the system email configuration at the workstation level you will
need to reconfigure this for each user in Sportsman Web. This override can be setup in the User
Configuration screen.
***Note*** If your system, on the desktop
app is set to MAPI, you will need to switch to SMTP using your emailing server
settings.
To be able to send emails, your email server must be
accessible from outside your network. Why?
Because Sportsman Web must make a connection from our web server to your
SMTP server to send the email. The
easiest way to think about Sportsman Web is to simply think of it as another
email client outside your network that needs to be able to connect and send
emails. There are two options for setting up Sportsman Emails.
· Option
1 (Recommended): Create a dedicated email account on your server for
Sportsman to use which will be entered in the system configuration tab. This
email account should have the required permissions to send emails for all users
that will be sending emails through Sportsman Web. For more details see ‘Entering Email Settings for Sportsman Web’.
· Option
2: Configure each Sportsman Web user’s account with dedicated email
settings. This will require each user to enter in setting in order to use
Sportsman Web.
Both options will work, but the latter requires a lot more
configuration on your part. We also recommend setting up your email server to
use an encrypted connection through an SSL certification to protect your email
content.
Prerequisites: You will need to have
administrative rights on the computer in order to configure your emails.
This section contains a list of helpful technical information
you may need when configuring your SMTP server to work with Sportsman Web.

Email Configuration
First, check if your email is setup correctly by logging into
Sportsman Web and trying to send an email by doing the following:
Click on [Tools].
Then click on the [Send
Email] button on the left side navigation menu.
Next, enter an email address and a test message and click [OK].
If you get the email and don’t have any errors you are configured
correctly. If you are not able to send
an email, please continue on to the “Troubleshooting Sportsman Web email
configuration” section of this document.
If your email does not send successfully, you will get a
popup similar to the image below. Click
the [Show More] button to see the
full log of what happened.
This will give you a detailed description as to why the email
was not successful. In the example below, it could not connect to the email
server.
Troubleshooting
Sportsman Web email configuration
The easiest way to troubleshoot Sportsman Web email issues is
to go to the user configuration. This
will allow you to try out different settings without changing the system’s
settings and affecting users across the organization. To get to the user configuration, click the
settings gear in the top right.
Then click the [User
Configuration] button on the left side navigation menu.
In the bottom right of your screen you will see the Email
settings section. To override email settings, click the [Override System Email Configuration]
checkbox.
Next, you will need to add the ‘Email server, port, account, and Password’ to test the email
connection with.
Once you have entered your desired settings, click [Verify Server Connection] to make sure
that Sportsman Web can connect to your SMTP server.
In addition to verifying the connection, we recommend that
you try and send a test email to make sure that not only is it connected, but
that email functionality is working properly.
If Sportsman Web cannot connect, view the log to see where
things went wrong. As was shown in the ‘Email
Configuration’ section of this document. You may need to open up
ports on your firewall or do additional server configuration to get this to
work even if it works in Sportsman desktop.
Sportsman Web is trying to make a connection to your SMTP server from
outside the network which is fundamentally different than Sportsman desktop.
The desktop version connects from the workstation which is typically within your
network.
Once you have your desired email settings click [OK] to save the settings for this
user.
After you have successfully sent an email through your SMTP,
we would recommend that that you uncheck the ‘Over
System Email Configuration’. Why? Because you will want to have
everyone using the same system email vs. having to set up each individual. We
explain this more in detail in the next section. To finish setting up the email
configuration for all users in the system, see the ‘Entering Email Settings for Sportsman Web’.
Entering Email
Settings for Sportsman Web
Once you have a successful connection to your email server
and are able to send emails, you will want to enter in these settings so all
users are able to use email functionality in Sportsman Web. The recommended way to do this is to setup a
dedicated email account for Sportsman on your email server. This email account should be setup so that it
can relay messages for any user (Meaning sportsman@peakinfo.com could send a message from john@peakinfo.com without an error). Once you have this setup, you will need to
log into the desktop application and update the system configuration to use
this account. Sportsman Desktop and
Sportsman Web share this configuration.
To get to the system email configuration go to File -> Administration -> System Configuration
Go to the ‘Connection’ tab
and then enter in your email settings.
***Note*** This will change the email
settings for all users in Sportsman Desktop and Sportsman Web that don’t have
overrides setup, so make sure that these settings are correct. If for some
reason it is not possible to make an additional account on your email server that
can send emails for all users in the system, your other option is to configure
each person’s User Configuration in Sportsman Web to use the correct SMTP
settings and their login and password like we did above in the troubleshooting
section. This is not ideal as you will
need to configure this for each user however it will work if for some reason
the recommended setup will not work for your organization.
