Admittance
– Current Activities Check-In
The Current Activities Check-In feature is a mechanism
to check in Patrons who are members or non-members and are coming in for a
Class, a Time Slot Activity, a League Scheduled Game or a Facility
Reservation. It’s great for customers
who forgot their QR code or none was issued.
This screen is interactive and refreshes every minute to show who should
be coming into the facility. Also note
that you may configure the regular barcode admittance screen for check-in
capabilities (see section below).

Access the interactive screen by going Action>Admittance>Show
Current Activities For Check-In
To check a patron in, simply double click on their name or
select them and press the [Check-In] button. This records them in the admittance log as
well as updates occupancy if so configured.
These admittance counts will show up in your Admittance Log and
Admittance Reports.
Options
Hide Patrons Who
Already Checked In -Uncheck
this option to include patrons who have already checked in. This is useful for informational
purposes. Those already checked in are
shown in red. If you highlight a checked
in person, you can then remove their check-in status.
Order By – Orders the list by Patron or Activity
1st, then Patron
Limit List To – Scopes the list to only patrons
who are relative to the current time window.
Setting it to 10 minutes before means a patron will show up on the list
for a 10:00am class starting at 9:50am.
The after time is the converse but note it’s from the class end
time. So a 10 minute in that column
means the patron would stay in the list 10 minutes past the class ending
time. If you would like to change these
default grace period times, do that in Workstation Configuration / Admittance
Tab (see configuring Admittance for Activity Check-In’s)
Show Entire Day – This shows all patrons who
scheduled to enter the facility for the entire day.
Exclude Expired
Activities – When
showing the Entire Day, this option lets you exclude classes that have passed
showing you just the list of who to expect from here forward.
Refresh – Refreshes the list
immediately. Generally, the list updates
every 60 seconds however if you want the most updated information (example some
scans in through the admittance screen), press this button.
Configuring Admittance for Check-In
You can also configure the regular admittance screen to
perform these check-in’s using a membership card swipe or individual admittance. You can do this even if the patron is not a
member and just enrolled in an activity if you give them a membership card or
key fob which identifies them to the system.
To enable this functionality, go to File> Workstation
Configuration and select the ‘Admittance [F3]’ tab.
Up To – Defines the grace period in
minutes before the class begins and after the class ends to allow admittance
through the scanner. If a customer comes
early, use the Check-In screen to admit them if applicable. The default grace periods on that screen are the
same but can be interactively changed.
NOTE: This functionality mirrors the manual check-in screen
above. This means that if someone scans
in, they will disappear from the ‘Current Activities Check-In’ screen on
its next refresh.
